Avantages

It makes sense - it's easy to use and easy to learn! It has helped me take a time-consuming project (collecting scholarship applications) and simplify the process. Wizehive also comes with a knowledgeable staff, who is very helpful and walks me through the application and review processes. For me, learning a new software program can be daunting, but the software was easy to learn, and the online support allowed me to see and talk through each learning step. It gave me the confidence I needed to make the most effective use of this product for our Foundation scholarship program. In fact, when the Membership Department saw how Wizehive worked for our Foundation scholarship program, they decided they wanted to use it for their student competitions, and their competitions include video clips! This software is very versatile, easy to use, and adaptable to the many situations.

Inconvénients

I really do not have any cons about this software. I enjoy working with it; it has met our needs.

I think the ability to streamline and automate our grant using WizeHive made the process move faster, allowing us to get funding out to our applicants sooner! Having all the information that we needed for this grant housed in one place made is super easy and efficient for me to keep my 300 plus applications, that were in various stages of the grant process, organized!

Avantages

The product was easy to use, and our implementation lead [sensitive content hidden] was amazing! He did a great job of making sure that the product was customized for our needs. He also did a great job of making sure that we were comfortable with using the software for not only managing our grant but creating or editing our custom forms and templates. Having the option to use different folders and the auto emails that were generated when an application moved to a new folder was super helpful in automating our grant process and keeping our applicants informed.

Inconvénients

The biggest thing that we got negative feedback about was the inability to have multiple users access the same application. Having someone that is an admin user and could grant user access to another person would be helpful or if there were a way to allow multiple users to access the same application. We have a situation where there are sometimes multiple people involved in the application process and they were frustrated by the inability to all have access the application.

We did not realize the level of technical competence that is required to customize and use the software. Working with the Learning & Development Specialist has been critical to our use of the software.

Avantages

The software is highly customizable to our needs.

Inconvénients

We were able to extend our deadline for launch on our end but Wize Hive did not extend theirs so the implementation process was rushed. We also did not realize that we would have additional support and training once we completed the implementation process.

Overall, we have had a positive experience with WizeHive. The staff are responsive to our needs, and take the time to understand what we need from the system in order to meet our goals. As noted about, our implementation lead went "over and above" in developing customize forms/processes to help our grant making process go as smoothly as possible. He also took a lot of time ensure our organization's staff were well trained on how to use the system.

Avantages

We used WizeHive to manage several different application processes, and a grant management/reimbursement process. For the application process, we liked that both the application and the review process was built into the system, allowing for a more streamlined process for both applicants and reviewers. We also liked that the forms and fields were customizable to ensure we were collecting the information we needed.For our grant management/reimbursement process, we had an extra level of complexity to what we needed the system to do given how we reimbursed our grantees. Our WizeHive implementation lead worked with us to understand how to set up the system to best meet our needs and customized various forms and processes within the system to meet those needs.

Inconvénients

One feature we think would be helpful is if there is a way that applicant organizations could allow multiple staff within their organization to access their organization's applications or reimbursement forms. Currently, an organization is limited to one username/password to access their application portal. Unless the organization shares that username/password with others within their agency, this means that they are limited to only one particular individual having access. It would also be helpful if the system allow an organization to have an overall organization account, and then within that account access various funding oppournities. Presently, each funding opportunity essentially requires a different account. As we have the same agencies that apply for various funding opportunities, they have to create (and remember) different log-in information for each separate funding opportunity.

WizeHive was very easy to work with and helped us go from a manual, photocopy, spreadsheet approach into a fully integrated online system. This allowed us to have a greater reach to high school students who might want to apply to our program.

Avantages

Our implementation lead was great. We challenged WizeHive with how we wanted to use our system for both applicants AND ongoing students - through their entire college experience. WizeHive rose to the challenge and provided us with creative solutions.

Inconvénients

The visual reporting dashboard was complex and seemed to lack some functionality (getting data from two forms, for instance).

My overall experience with WizeHive is great. Our previous scholarship management solution did not evolve quickly enough to meet the demands of our growing organization. WizeHive provides consistent updates and quality of life changes to meet these growing demands on a reliable basis.

Avantages

WizeHive offers a variety of features intended to make the user-experience clear. My favorite features including autoemails set up, mass editing/deletion of records, and mass data import/export.

Inconvénients

The most important feature I believe is missing is cross-form mapping. Right now, Profile information can be mapped to any form within a submission portal, but additional forms cannot be mapped to each other in that same portal. Cross-form logic is also missing. It would be easier to be able to link a question in a form with logic building off a question earlier in the application.

The objective was to deploy a system to support subgrant management for a growing, flexible, and dispersed organization. This was to be supported by a successful rollout to internal and external users to ensure the system was used.The WizeHive team, especially the team lead in charge of the assignment, was committed and focused on offering a working solution. The customer service team has been supportive during rollout and has ensured to support our team during implementation.Equality Now appreciates the level of professionalism shown in handling the assignment, coupled with great patience and expertise in developing solutions of such a complex nature.

Avantages

I like that WizeHive is a versatile platform. The system captured the blueprint document that was created at the beginning, which reflected Equality Now’s needs. It was possible to adjust the processes and functionalities during the system’s development to develop an efficient workflow process.

Inconvénients

The needs assessment and planning before the system was developed were detailed. It did take quite some back and forth, but as soon as the team in charge figured out the need, they were quick to work on it and progress.I can say that the system is at about 75% use, and this is because we have not closed out any of the projects since we officially rolled it out in April. Sub-grantees have been able to interact with the system during application and reporting. There is no duplication of process, making the system function optimally at all stages.

My overall experience has been a good one. The best experience I have is when I can speak with a person at Wizehive for what are complicated questions that I have. It's hard to express your issues in a support ticket, because of that you don't always get the right answers and have to keep asking thru the support ticket. If you could speak with someone, they better understand what you're trying to do and your issues.

Avantages

That the applicant can log in to their application and see what they did last year, they can also see where their application is in the process, emails are simple to send and you have control over the emails being sent

Inconvénients

I wish that Wizehive had an 800 number - a number you can call and speak with someone. I don't like that I have to send an email stressing that I need to talk to someone. Speaking with a live person is so very helpful and it's the one thing that I feel Wizehive is lacking...in a big way

Prior to purchasing the WizeHIve software, our institution was using multiple layered spreadsheets to manage scholarship applicant intake and selection. Then, manually sending communications to applicants using Microsoft Outlook. Our ability to access data and generate reports was also limited as it also was a very manual process. Introducing the concept of a scholarship portal to our students has been a great experience. We are improved our efficiency internally but more importantly; we are providing a better user-experience for our students.

Avantages

The ability our scholarship application portal with our student information system provides a more user-friendly experience for applicants. Additionally, it ensures the critical information used on the application to determine applicant eligibility is 100% accurate. The integration functionality and ability to customize the application fields using conditional logic has transformed our scholarship program entirely, helping us to be much more efficient with our selection processes.

Inconvénients

The process for closing an application cycle, and starting a new one that essentially mirrors past years is very involved. However, the WizeHive support team was very helpful as we transitioned from our first cycle using the software into our second. The process will likely become more clear with each new cycle/academic year.

It was such an easy, quick decision to make. We'd met with multiple other programs that didn't quite fit, but after speaking with both the American Indian College Fund and the Cobell Scholarship, we decided to reach out to WizeHive. From the initial meeting, we were very optimistic about the program.

Avantages

The build process was very organized with clear deadlines. The trainings before starting the build created a great foundation and the project map/plan was so convenient to keep an eye on what was due and when. Our Implementation Lead, [sensitive content hidden], was very knowledgeable about the program and always had quick solutions for us when we had questions. Super responsive and understanding about reschedules when needed, as well.

Inconvénients

Starting out, learning the administrative side of WizeHive can be a bit confusing. However, I know it's really only practice that can resolve this.

WizeHive offers seamless language translation features; you just select the language(s) you need and everything is automatically translated for you! Another feature we love is the document generator. This feature helps us customize our award letters and payment invoices.

Inconvénients

Having WYSIWYG capabilities in the auto-email function would be a terrific upgrade.

Avantages

The programmable portals for grant submission and reviews are excellent, and will be critical to the success of our new initiative to solicit applications for sub-grants. The implementation support during programming was efficient, responsive, and extremely professional.

Inconvénients

There are not any features that are missing, and the team was willing to add additional features that I needed, such as a time-stamp on the submission confirmation. Their flexibility and support to product users is exceptional.

I wish my Wizehive team member could teach me about every other thing I don’t already know. The customer service team is really all around A+ and we loved working with them

Avantages

I’m someone who struggles with technology and our Wizehive project contact made all my worries disappear. She was very knowledgeable and not intimidating at all. There was room for questions and learning how to use Wizehive was really easy.

Inconvénients

The one thing we liked the least was that there were some very minor things that we could not customize but it didn’t affect the overall outcome.

The system is easy to use and feedback from users is positive. The auto email features are also very helpful.

Inconvénients

Our program has a lot of data and tracking as well as HR processes that are hard to encompass in one system. We are finding ways to simplify some processes while some are not able to be adjusted to fit the way the system works.

Avantages

It was fairly straightforward to use and the customer service from my implementation team was wonderful. I was very impressed with [sensitive content hidden] attention to detail, knowledge about possibilities to get what we needed done accomplished and ability to connect.

Inconvénients

Email capabilities for our uses involve workarounds, and while easier, don't fully achieve our goals. As our use is for an application for multiple people, the only way to communicate with the full team is through auto email, which are only triggered when we move them from folder to folder, not allowing us to send follow-up emails if they remain in a particular folder. Additionally, in our judging process, the download files only allows for the user to download a PDF, not the native files (including video).

Some of the backend isn't as intuitive as I expected, but the training helped to navigate this.

WizeHive makes it possible to manage our grant program and the increasing number of proposals that we receive.

Avantages

Customer service is very helpful and responsive. They're helpful in answering simple fix questions, as well as brainstorming on how their software can accommodate more complex requests.

Very easy to build your own application form, as well as follow-up forms.

The interface can be customized to fit your organization's branding.

Online help articles are very helpful and easy to follow.

Easy to create and customize reports.

Easy to create a new workspace - its basically a copy, paste function.

Overall - if we were to go through this process again, we would make the same decision to use WizeHive.

Inconvénients

Applicants have to create new credentials every year in order to access their application so, they have separate logins for the year they are reporting in and the year they are applying for - that can get confusing.

Yearly workspaces cannot communicate with one another so doing YTD comparisons can be challenging.

There are some features, such as the calendar and cascading forms, within WizeHive that I wanted to utilize but were not sophisticated enough features to make it worthwhile.

Sending an e-mail to users through the WizeHive app comes from the WizeHive domain and frequently goes to the spam folder. While you can direct replies to an internal e-mail, I would like for the e-mail to also appear as though it was sent from our domain.

Regarding the communication between yearly workspaces - this is a key priority for us and is on our near-term roadmap. Cascading forms is a core feature and we'd like to further discuss any issues you are experiencing to see if there is an immediate way to support/address your needs. For clients looking for more advanced calendar functionality, we have other options we can recommend. As for emails, we heard a similar concern from another client, investigated and made some changes to our email plugins that should significantly improve deliverability going forward. Thank you again! I don't love this system

Avantages

It has most of the features we need for our use, which is an application process. People can log-in and save their status on applications. It can link to get references, and I can get people to review the applications on a review portal.

Inconvénients

This is the least intuitive interface of a system I have EVER used. It is extremely frustrating. You think you remember how to change a setting or edit a direction somewhere, and you realize it could be in one of a ton of different places. It is extremely frustrating to use, and you would think that simple things like easily downloaded all the applications as files to my own computer would be simple, but they are not. Customer support can be okay, it depends on who you get really. The fact that I used this last year and this year had to be completely refreshed because it's so complicated that I don't remember everything is a big issue. And it's not like I can easily problem-solve. I always need to contact customer support, and I can't even call. My colleagues and I can't believe that a minor thing like putting a blurb/direction before a certain section of a form weren't possible! It has to be somewhere else. Some of my applicants have been confused. We probably won't use this again. Again, it is the least intuitive system I have ever used.
